AI System for Turning Shift Handover Notes into Open Work Records

The problem

When operator notes, machine records and the open-work list are held in different sources, fields have to be matched by hand before a draft handover record containing an owner and follow-up step can be prepared.

The shift supervisor must compare every suggestion in the handover record, including the owner and follow-up step, with its source record; missing or conflicting evidence must not take the place of a final decision.

If two entries describing the same event in different words are not separated for review, a critical event may be closed or duplicate work may be opened; the record must not progress without a human decision.

What we set out to improve

• Time for the draft handover record with an owner and follow-up step to reach the shift supervisor with its supporting evidence
• Outcomes of records separated for human review because the same event was recorded twice in different words
• Number of suggestions corrected after identifying the risk that a critical event could be closed or duplicate work opened

How the system works

1. 01 Receive the operator note, machine record and open-work list from permitted sources with the record identity
2. 02 Link the source, date and version details to a common work record
3. 03 Validate fields and units
4. 04 Prepare the handover record with an owner, follow-up step and supporting evidence
5. 05 Check the exception: the same event may have been recorded twice in different words
6. 06 Have the shift supervisor accept, correct or reject the suggestion
7. 07 Write the approved decision and its source to the activity log
