Marketing automation is the handing over of manually run marketing work — lead capture, segmentation, message sending and sales follow-up — to software flows driven by rules and triggers. The aim is not to remove human effort but to free the team’s time from repetitive work for strategy and customer relationships. On this page we describe less the concept itself and more how DijitalPi builds this service.
A simple example: the details of a visitor who fills in the form on your website are saved automatically to the CRM, their source is tagged, a notification reaches the sales team and a welcome message goes to the lead. Every link in that chain is today most likely work someone on your team does by hand — or work that is lost when it is forgotten.
Classic automation works with "if X happens, do Y" rules; the AI layer steps in where those rules cannot decide. It scores a lead’s likelihood of converting, classifies the intent in an incoming message and adapts content to the individual. These two layers are complementary, not alternatives. Without solid rule-based flows the AI layer has nothing to stand on; without AI, rules produce a system that treats everyone the same and never learns. The personalisation side is also directly connected to our conversion rate optimisation work: the behavioural data automation produces shows which page and which message to improve.

We bring scattered lead sources — ad forms, website forms, social media messages and call records — into a single flow. Scenario: a lead who fills in a Meta ad form is saved to the CRM within seconds with a source tag, passes a duplicate check, is assigned to the right sales representative and a notification reaches that representative. No lead is lost because it was "forgotten in a spreadsheet".
In Türkiye, WhatsApp is the channel customers respond to fastest; it is also where automation’s effect is most visible. Scenario: a lead who fills in a form receives a personalised welcome message on WhatsApp within 5 minutes; a customer with an upcoming appointment receives an automatic reminder; conversations left unanswered are followed up politely at set intervals. We build these over the official WhatsApp Business API with approved message templates — we do not use unapproved bulk-sending methods that put your account at risk.
Email is the only marketing channel you own outright, and one of the channels that works best with automation. The typical flows we build: a welcome series for new subscribers, a reminder for customers who abandon their basket, a post-purchase information sequence, and a re-activation campaign for segments that have been inactive for a long time. Every flow is triggered by segment; we do not send in bulk and indiscriminately to a list.
The CRM is the heart of automation: which stage a lead is at, who has spoken to them and what the next step is all live there. We design pipeline stages around your processes and attach automatic tasks to stage transitions — such as opening a follow-up task for a customer who has been sent a quote. Data hygiene flows clean up duplicate and incomplete records. If you do not yet have a CRM, we build the underlying infrastructure together through our CRM setup and customer relationship management service; automation then sits on top of that foundation.
Compiling a report from screenshots at the end of the month is the first job automation should remove. We bring advertising, web analytics, CRM and sales data into a single flow, and have the weekly or monthly report compiled automatically and delivered to your inbox or dashboard. Which metrics are worth tracking we determine with the approach in our data analytics service: metrics that look impressive but have no bearing on decisions do not make it into the report.
We set up an AI assistant on your website or WhatsApp line, trained on your business’s knowledge. The assistant answers frequently asked questions, collects appointments or initial enquiries, and writes lead details into the CRM. A critical rule: when the assistant meets a question beyond its authority, it hands the conversation to a person — we do not build bots that trap the customer in a loop or invent answers. We prepare the assistant’s knowledge base with you and test answer quality together before going live.

Setup runs in five steps: discovery, design, build, test and handover. Your business does not stop during the process; your existing flows keep running while the new system is built in parallel, tested and switched on once validated. The output of each stage is shared with you; we do not build black-box systems — your team knows what was built and why.

Which tools do you work with? We are not tied to a single tool; we work by category: automation platforms (including open-source solutions), CRM systems, email marketing tools, official WhatsApp Business API providers and analytics tools. In the discovery stage we look at your existing tools and, for the missing categories, recommend an option suited to your needs and budget. We do not want you to replace a tool you already use and that works.
How long does setup take? It depends on the scope. A simple single-channel flow (a WhatsApp welcome for form leads, for instance) and a multi-channel system with CRM integration and an AI layer do not run to the same timetable. After clarifying the scope in the discovery call we present a stage-by-stage timeline; we prefer to switch on the first working flow early and expand the system gradually.
Will it integrate with my existing CRM? Integration can be built with common CRMs that offer API access; we verify your system’s integration capacity together at the discovery stage. If you do not use a CRM yet, or your existing system does not meet the need, we lay the foundation first with our CRM setup service and build the automation on top of it.
Is WhatsApp automation official? Will my account be at risk? We build our setups over the official WhatsApp Business API with Meta-approved message templates. Bulk sending through unapproved third-party tools breaches platform rules and can result in account closure; we do not use those methods. Official infrastructure also meets business needs such as multiple users, automation integration and reporting.
Is maintenance needed after the automation is built? Yes. Tools’ APIs are updated, your campaigns change, new scenarios are added — automation is not a "set and forget" system. At handover we give your team basic management training; for clients who prefer it, we also continue monitoring, maintenance and development as an ongoing service.
